Accounts

Create and manage financial accounts to track money coming in and going out of your program.

Overview

The Accounts page shows every financial account for the currently selected program as large buttons. Click an account to open its full transaction ledger. Each account belongs only to the current program — transactions never mix across programs.

The Accounts List

Accounts appear as large blue cards with the account name. Under each card you can:

Use the search box at the top to filter accounts by name. Click Add New Account to create a new one.

Pro Tip — Intake / Holding Account

Many directors create an “Intake” or “Holding” account. Daily student payments are first recorded there, then transferred to the real bank account when the money is deposited. This keeps individual student detail clean while still matching the bank deposit total.

Inside an Account (Transaction Ledger)

Click any account card to open its transaction list. You will see:

Cleared Transactions

By default only uncleared transactions are shown. This helps you focus on items that still need to be reconciled with the bank.

Adding Transactions

Click the “Add Transaction” button inside an account. The form lets you record:

Student-Linked Payments

Check “This payment is for student account/fees” and select a student. The form shows that student’s current balance and open fees so you can record the payment accurately against their account.

Fundraiser Payments

Check “This payment is for a fundraiser”. Select the fundraiser and (optionally) the student who should receive credit for the amount raised. This is attribution only — it does not automatically pay student fees.

Transfers Between Accounts

Check the box “This is a transfer between accounts”. Choose the “To Account”. FireSafe automatically creates matching debit and credit entries in both accounts.

Important

Transfers cannot be edited or moved later (to protect data integrity on both sides). If you need to change one, delete it and recreate the transfer.

Moving a Transaction

Use Move in the Actions column to send a transaction to a different account in the same program. Transfers cannot be moved.

Receipts

When a transaction has an attached receipt, a View Receipt link appears under the Payment Method column. You can also use Print Receipts to print all receipts for this account in a date range (with options for uncleared only or cleared only).

Check the Show Tips box near the top of the Accounts list page for a quick reminder about how accounts work.

Best Practices

  • Keep account names short and descriptive.
  • Use student-linked transactions whenever possible — this keeps individual student balances accurate.
  • Use the “Intake / Holding” method if you want to separate daily collections from bank deposits.
  • Use Categories so reports and analysis are meaningful later.
  • Attach receipts when you enter expenses so they stay with the transaction.
  • Mark transactions as Cleared once they appear on the bank statement.
  • Regularly review and reconcile accounts.
