Instrument Inventory

Track every school-owned instrument with serial numbers, condition, assignments, and repair history.

Overview

This page shows a complete, searchable, and sortable table of all instruments assigned to your current program. It is one of the most heavily used pages by band directors for inventory management.

Key Features

Add New Instrument

Click “Add New Record” to open a clean form with categorized instrument types (Woodwinds, Brass, Percussion, Strings, Custom).

Import from CSV

Use the green Import button to bulk-upload instruments. The system intelligently maps columns and lets you review before importing.

Export & Template

Export your full inventory as CSV anytime. Download a blank template to make future imports easier and more accurate.

Search & Sort

Search across all fields. Click column headers to sort by Instrument Type, Brand, Model, Serial No, Asset No, Description, or Condition Notes.

Working with Records

Selecting Multiple Instruments

Use the checkboxes on the left to select one or more instruments. Once selected, the green Edit Selected and red Delete Selected buttons appear.

Batch Edit Tip:

When editing multiple instruments at once, you can leave fields as “{No change}” to keep existing values.

Per-Record Actions

Printing

Click the gray Print button to print a clean version of the current instrument list.

Show Tips

Check the “Show Tips” box at the top to display helpful guidance (you can also persist this setting).

Best Practices

  • Import your full instrument list at the beginning of the year using the Import tool.
  • Keep serial numbers and asset numbers accurate — they are critical for insurance and audits.
  • Use the Condition Notes field to track repairs and general condition.
  • Export regularly as a backup.
