Plan, manage, and document band and orchestra trips with full itinerary,
student, chaperone, and bus tracking.
Overview
This is one of the most powerful sections in FireSafe. It allows you to create complete trip plans
including detailed daily itineraries, student rosters, chaperones, and bus assignments — all with
professional printing options.
Creating a New Trip
Click the “New Trip” button. Fill in the basic information:
- Trip Title (required)
- Destination
- Start and End Dates
- Purpose / Notes
- Status (Planning, Confirmed, In Progress, etc.)
- Total Estimated Cost
Building the Itinerary
After saving the trip, click anywhere on the trip card to edit it. Then use the “View/Edit
Itinerary” button to add segments.
Itinerary Segments include:
- Date (and optional End Date for overnight stays)
- Start and End Times
- Activity description
- Start Location and End Location
- Transport / Bus information
Adding Students
You have several ways to add students to a trip:
- Add All Students in the program
- Add by Ensemble (recommended for most trips)
- Search and add individual students
Managing Chaperones
You can add:
- Directors and Assistant Directors (pulled automatically from your program)
- Guardians of students in the program
Chaperones can also be assigned to specific buses.
Bus Management
FireSafe has a full bus assignment system:
- Create custom bus names/numbers
- Assign students and chaperones to buses
- View live counts per bus
- Print professional bus rosters
Printing Options
Each trip card has powerful print buttons:
- Print Itinerary — Clean, professional daily schedule
- Print Trip Contacts — Full student + guardian contact list
- Print Bus Rosters — Separate pages per bus with students and chaperones
Other Useful Features
- Duplicate Trip — Great for repeating annual trips
- Get Full Trip Directions — Generates Google Maps directions for the entire
itinerary
- Gap Detection — The system warns you if consecutive segments don’t connect
geographically
